(MdM Spain) Project Coordinator for Dnipro, Ukraine
Our colleagues from MdM Spain are looking for a Project Coordinator, based in Dnipro, Ukraine starting in May/April 2025.
MISSION
The Project Coordinator is responsible for ensuring the successful implementation of a health and humanitarian project funded by ECHO (European Civil Protection and Humanitarian Aid Operations) in Ukraine. The project is a collaborative effort led by Medicos del Mundo (MdM Es), working in partnership with MdM France, MdM Greece, MdM Germany, and three local partners. The aim of the project is to deliver critical health services, including mental health and sexual and reproductive health (SRH) support to vulnerable populations in Ukraine, specifically in the conflict-affected regions of Mykolaiv, Kherson, Donetsk, Sumy, Zaporizhia, and Kharkiv oblasts. The Project Coordinator will oversee coordination, communication, and operations to ensure that the project delivers its objectives effectively, on time, and in compliance with ECHO’s requirements.
GEOGRAPHICAL SCOPE OF INTERVENTION
The Project Coordinator will be based in Dnipro with some visits to the areas of intervention of the project: Kharkiv, Zaporizhia, Kherson, Mykolaiv, Donetsk and Sumy, to support the operational teams of Medicos del Mundo partners.
ORGANIZATION CHART
The Project Coordinator will report to Medicos del Mundo General Coordinator.
She/he will work closely with Medicos del Mundo Field Coordinator East and Project Manager of our partners. He/She will collaborate with the Technical, MEAL, Grants and Communication teams of all members of the consortium.
YOUR RESPONSIBILITIES
1. Project Coordination and Management
- Support Coordination: Facilitate effective collaboration and communication between the four consortium operational partners to ensure smooth implementation and synergy by participating in coordination mechanisms and meetings and tracking and facilitating accomplishment of agreed actions, including follow-up on these actions.
- Monitor progress: work with the MEAL officers of operational partners to track project progress against indicators and targets, to consolidate any identified challenges or deviations, and recommend corrective action. Support any third-party monitoring process.
- Monitor quality: Track the quality of project implementation by monitoring compliance to donor requirements, technical standards, and recommend best practices in collaboration with technical referents from MDM Spain, France, Greece and Germany.
- Risk management: Identify and assess potential risks to the project, recommend mitigation strategies, and monitor risks throughout the project lifecycle.
2. Grants coordination
- Compliance: Guide partners to ensure compliance with donors and partners policies related to financial management, procurement, and reporting through providing presentations and sharing timely and up-to-date key documents on important contractual stipulations, donor compliance, and deadlines.
- Financial management: in collaboration with the all the implementing partners ’finance teams, support the tracking of financial management of the project, including budget monitoring, forecasting, and financial reporting and participate in monthly budget follow-ups (BFUs), documenting and following up BFU actions.
- Recording: Ensure timely and accurate maintenance of Consortium files on MDM SharePoint. Ensure all donors submissions are documented.
- Communication and Fundraising: Ensure program sustainability by strengthening and maintaining donors and partners network and design proposal if necessary.
3. Reporting
- Consolidate operational partner reports, review and submit timely and accurate reports to the donor, ensuring consistency across submission documents highlighting key achievements, challenges, and learning.
- Plan and coordinate donor reporting processes compiling, editing and providing feedback to ensure the development of high-quality reports, plans and other related key documents timely submissions, complying with donor reporting requirements.
- Design and facilitate the implementation of program quality tools, including reporting processes and responsibilities.
- Support documentation of lessons learnt, best practices and proven innovations in program design, implementation, monitoring and reporting to improve program design and implementation strategy.
4. Capacity Building and Technical Support
- Foster an environment of knowledge-sharing among consortium members and local partners.
5. Stakeholder Engagement and Communication
- Establish and maintain relationships with local authorities, UN agencies, NGOs, and other relevant stakeholders.
- Represent Medicos del Mundo and the consortium at meetings, conferences, and forums as required.
- Ensure the project’s achievements are communicated effectively to external stakeholders, including ECHO and the wider humanitarian community.
6. Financial and Administrative Oversight
- Support the partners in ensuring compliance with financial guidelines and budget monitoring.
- Ensure that all consortium members adhere to administrative and financial protocols as required by ECHO.
- Work with the Finance and Admin teams to ensure smooth operational and financial management of the project.
